Making group reservations without going through our reservation center

This tool enables you to view all information on the Congress attendees registered in your group in a single document. Follow these steps to import data from the registration system to an Excel document:

• On the registration system “Menu” page, click on the “Pilgrims” tab.
• Click on the Pilgrims List (Excel) link located on the right-hand side of the page, beneath the “search” button.
• Click on the “Proceed” button and wait a few minutes.
• A window will appear on your screen asking you if you want to open the document, register it, or cancel the operation. Click on “open” and wait a few seconds. 
• An Excel document listing all the registration information of pilgrim/attendees in your group will open. Repeat this procedure every time you wish to access an updated list.

When a pilgrim wishes to invalidate her/his registration, it is important to verify her/his payment status. Here are the three possibilities:

1) Registration which you have not received any payment for.

You can deactivate the registration form in the registration system by clicking on the garbage icon. This icon is found at the right side of the pilgrim’s name, in the menu «Pilgrims».

2) Registration already paid but you have not transferred to the IEC organization yet.

You can reimburse the pilgrim and then you will have to deactivate her/his form using the garbage icon found at the right side of the pilgrim’s name, in the menu «Pilgrims».

3) Inscription paid and for which the payment has already been transferred to the IEC organization.

• You then need to verify if you can substitute the registration.
• The substitution of the registration means replacing a registration by another one at the same cost and within the same group of registration.
• You take note of the change. When a new registration with the same package is registered in your group of registration, you need to contact the IEC organization to officially ask them to do the substitution, mentioning the name of the new person registered with the name of the pilgrim whose registration needs to be deactivated.
• The IEC organization will contact you to confirm the substitution.
• You contact the pilgrim who has asked for the substitution to confirm with her/him the invalidation of the registration and to agree with her/him upon the methods of reimbursement.
